Import your class lists
Export classes from Aladdin or VSWare, then upload the file to create your classes in one step.
You do not have to type your classes in. Export a class list from Aladdin or VSWare and upload it — Active Travel Logger works out the classes and how many pupils are in each.
No pupil names are stored. The import reads your file in your own browser to count pupils per class. Only the class name, the year group and the number of pupils are saved. Names, addresses and any other pupil detail in the file are never sent anywhere.
Step 1 — Export a class list from your MIS
Aladdin
Aladdin exports class lists through Reports, not through the Actions menu on a class list.
- Sign in to Aladdin as a system administrator.
- Go to Admin → Reports.
- Choose report no. 1, "Class list / school directory".
- Using the drop-down menus, select the classes you want and the fields to include. Make sure a class field is included — that is the only field Active Travel Logger actually needs.
- Press Go to run the report.
- Once the report has run, choose the option to export your data to Excel.
Keep the file as Excel (.xlsx) or save it as CSV — both work.
Aladdin's own System Administrator User Guide covers this in section 10, "Reports". If Reports is not available to your account, you do not have system administrator access — ask your principal. Aladdin support is on (01) 254-2277 or support@aladdin.ie, 9am–4pm Monday to Friday.
VSWare
- Sign in to VSWare with an account that can export.
- Go to Settings → Export.
- Include the
Classfield in the export. - Export as Excel or CSV — both work.
These VSWare steps come from the guidance shown inside Active Travel Logger itself. If your VSWare menus differ, check with VSWare support and tell us, so we can correct this page.
Step 2 — Upload the file
- In Active Travel Logger, open your school and choose Import from CSV.
- Drop the file onto the upload area, or click to browse. It accepts "Excel (.xlsx) and CSV from VSWare or Aladdin".
Step 3 — Check the preview
The preview lists the classes found, with a pupil count for each, and says for example "12 classes to import · 348 students".
- Untick any class you do not want — a class that has left, or a group that is not really a class.
- Correct any pupil count by typing over it.
- Rename a class by typing over its name. Use the name teachers will recognise on the board.
Step 4 — Import
Choose Import. You will see Import complete! with how many classes were created, and how many were skipped (already existed).
Classes that already exist are never duplicated or overwritten, so it is safe to re-run an import after adding a new class.
What the file needs
| Column | Required | Accepted headings |
|---|---|---|
| Class | Yes | Class, Class Name |
| Pupil count | No | Student Count, Count, Students, Size, Number |
| Year group | No | Year Group, Year, Grade, Class Year, Course Year |
Headings are not case-sensitive.
There are two shapes of file, and both work:
- One row per pupil, with a
Classcolumn and no count column. Rows are grouped by class and counted automatically. This is what an Aladdin or VSWare export usually looks like. - One row per class, with
Class NameandStudent Count. This is the simplest file you can make by hand — two columns.
A class can have at most 225 pupils.
If the import does not work
"Could not detect classes. Make sure the file has a 'Class' column."
The file has no column the importer recognises as the class. Open it and check
the heading row: it needs a column headed Class or Class Name. Two things
cause this more often than anything else —
- The export put a title or a blank line above the headings, so the first row of the file is not the heading row. Delete the rows above the headings and save again.
- The class column is headed something else, such as
Base ClassorForm. Rename it toClassand save.
The classes are right but the counts are wrong. Fix them in the preview before importing — it is quicker than re-exporting. Or import anyway and correct the roster afterwards on the class page.
Every pupil came through as their own class. The class column contained something unique per pupil, such as a pupil number. Check you selected a class field rather than an identifier.
After importing
Each class now has the right number of pupil tiles, each with a generated colour-and-animal nickname. Nothing further is needed before teachers start — see classes and codes to adjust a roster or issue a parent class code.
